Personal Assistant, Sales
Job Introduction
The UK based Sales team currently totals 11 personnel. The Assistant will work alongside the existing Group Sales Support Admin.
The Sales Support & Bid Management team (part of the Sales team) play an integral role in the process supporting the engagement to win new business. This can include working with other businesses within SS&C. The team also supports this process for existing clients, alongside the Client Relationship team to retain existing business.
The Sales team is based between SS&C House, Basildon and Queen Street offices, London near Bank/St Paul’s.
Role Responsibility
DIARY MANAGEMENT
Proactive diary management – internal and external meetings to incorporate:-
Meeting room bookings
In-house or external catering
Visitornet security registration
Zoom/TEAMS conferences
Car parking spaces at various office locations
PROSPECTIVE CLIENT VISITS
Facilitation of prospective clients to Essex/London premises. Secure meeting rooms, catering and support of the Business Development team/Sales Director hosting the client.
TEAM SOCIALS/OFF-SITES/MARKETING EVENTS
Facilitating team socials and off-sites including sourcing of suitable venues. Liaising with the UK marketing team for sales related client events.
MINUTES
Cover only in absence of Group Sales Admin. Monthly Sales Steering Committee hosted by Senior Director, Asset & Wealth Management. Prepare agenda, take minutes and update action log. Updating Terms of Reference as appropriate.
TRAVEL
Facilitating flights, hotels, taxi and train travel via online travel tool application.
Researching / sourcing visa requirements/applications as necessary.
EXPENSES
Facilitating Company credit card and personal expenses via PeopleSoft online application.
NEW STARTERS
Facilitating network access, IT hardware, business corporate card, conference account and onboarding of new starters on Day 1.
AD-HOC
Ordering flowers, updating online organisation charts
The Ideal Candidate
Essential:
- PA experience at Director level
- Self motivated with exceptional communication and organisational skills
- Experienced in MS Office applications
- Experience in a corporate environment
Desirable:
- Experience in a financial services industry/sales environment
