Chief Administration Officer
Job Introduction
To support the CEO to ensure smooth running of the business according to established policies, vision, and strategy. The position reports directly to the CEO and involves close working with the executive management team and their Direct reports.
Role Responsibility
Strategy & Strategic Initiatives
- Provide input to business and strategic planning
- Create and maintain Strategy document for function and communicate out across Group
- Track & report on status of strategic initiatives for function
- Ensure ownership of each initiative & that owner is driving through completion of each (supporting as appropriate)
People & Headcount MI
- Review reporting from HR and identify any areas where action required and follow through with Department Heads (including Attrition, Overtime rates etc)
- Oversee resource allocation and budgeting for function (in liaison with relevant roles)
- Tacks & reports headcount for function (in liaison with relevant roles)
- Approving Reqs & Offers on behalf of CEO/Exec Director ensuring within budget
Overall Staff responsibilities
- Oversight of our internal Learning and Development function which has responsibility for:
- Regulatory training across function
- Induction programme
- Mentoring programme
- Attendance records for training
Act as business lead for employee engagement activities, providing a point of contact for employee engagement across the function and having oversight of the delivery of the annual survey and any subsequent action plans/initiatives.
Act as lead for our Hybrid working approach, by tracking overall adherence and acting as an escalation/approval point for requests to work outside this approach, ensuring consistency across our organisation.
Act as sponsor for the Culture & Conduct working group, supporting with activities as required to ensure initiatives embed the right culture and conduct throughout the organisation.
Executive Meetings & Reporting
- Prepare and report timely to senior management or regulatory agencies as required
- Collate and provide key highlights from function for Price Earnings Release and Board Reporting
- Prepare for meetings as required and ensure actions from Meetings assigned to owners and followed through to completion
- Follow up on Board and Executive Committee actions and support resolution
- Support Executive team in the production of presentations to ensure excellent quality
Audit Oversight
- Report on outstanding audit points on a regular basis
- Ensure Owners assigned and all actions followed through
Comms oversight & control (internal)
- Create communications for function or review and approval of others, liaising with Communications Manager as required
- Provide input to global communications for function
- Ensure delivery of Communications schedule for function
Troubleshooting
- Support CEO in any activities which need resolving, ensuring right people get involved as required
General co-ordination and collation of non Ops/Tech exercises
- Organise and coordinate inter- and intra-departmental operations and initiatives
- Communicate detail/instructions to function as appropriate and ensure carried out and/or being followed

Essential
- Ability to consistently multi-task reprioritise effectively
- Outstanding communication and interpersonal skills (both written & verbal comms/ internal updates)
- Great collaborator at all levels (up to Board)
- Excellent people management skills and strong team player
- Strong organisational and leadership skills
- Able to add a strategic position to everyday activities
- Comfortable providing out of hours support
- Comfortable dealing with sensitive information & confidentiality
- Good knowledge across the organisation
- Driver/Completer
- Strong relationship skills
Desirable
- Proven experience as a Chief Administration Officer or Chief of Staff
- Good understanding of the Asset and Wealth Management businesses
- Experience in operations management
- Experience of reporting to Board level
- BSc/BA in business administration or relevant field; MSc/MA is a definite plus
