Procurement & Vendor Management Administrator

Job Introduction

Writes and distributes Request for Proposals (RFP) and Request for Quotations (RFQ) to obtain bids on specific goods and services for the organisation's smaller, less strategic suppliers. Conducts industry research on best-in-class suppliers for sourcing responsibility. Reviews the results of RFP/RFQ responses with clients and participates in the supplier selection process. Places purchase orders with suppliers and ensures the timely delivery of those goods and services. Co-ordinates the return of damaged goods, replacement items or credit arrangements. Will receive instruction, guidance and direction from others. Uses existing procedures to solve routine or standard problems. Works on sub portions of projects using knowledge developed through education or experience. Contributes to specific objectives and outcomes as directed. Tasks will include turning Requisitions in to Purchase Orders, the planning and co-ordination of Vendor Service Review Meetings, Managing Business and Vendor Scorecards and Process documentation and filing.

  1. An effective communicator
  2. Previous procurement / contracts administration experience
  3. Commercial awareness
  4. Very organised and motivated
  5. Ability to understand procurement and legal terminology
  6. Excellent Excel, Word and Outlook skills


  1. Negotiation skills
  2. Management Information and Scorecard experience
  3. A working knowledge of PeopleSoft
  4. A working knowledge of Supplier Gateway
