Learning and Development Coordinator

Job Introduction

Manage and develop key L&D administration processes with specific accountability for all professional qualifications, being a primary point of contact for related business queries.

To support Learning Zone administration and be a point of contact for Learning Zone related queries


Role Responsibility

Professional Qualifications

  • Manage end to end process to support IOC Intro Classroom delivery,  from maintenance of application form and upload to LZ through to invoice reconciliation and ongoing query management
  • Manage T&C professional qualification process, liaising with T&C team as required
  • Manage end to end sponsorship process, liaising with Senior Specialist – L&D, as required
  • Robust, auditable  record keeping to be maintained for all professional qualifications
  • Invoice reconciliation for all professional qualifications
  • Main point of reference for all queries relating to professional qualifications
  • Regular process reviews to be conducted to ensure efficient and effective service to the business
  • Establish clawback requirements for leavers who are covered under sponsorship policy

Travel Booking

  • Manage requests for all forms of travel by the L&D team
  • Keep accurate records of all travel booked, including travel authorisation from senior management
  • Ensure accurate invoices are processed through Proactis, following travel booking


  • Manage the routing of invoices for MBR97 cost centre, via the Proactis system, ensuring regular review and processing

Corporate Induction

  • Assist, on a rotation basis, with room set up and the “Meet and Greet” of New Hires
  • Order Catering
  • Ensure adequate supply of Corporate Induction materials are available for each session

Learning Zone (Learning Management System)

  • Daily management of owned queues in the Learning Zone mailbox (KANA RESPONSE)
  • Ensure Learning Zone pages relating to owned tasks are regularly reviewed and maintained
  • Process late Course Cancellations

Other key role duties

  • Undertake cross-skilling to provide cover for queues owned by Learning Zone Administrator 
  • Support L&D Admin Manager with ad hoc projects as required
  • Provide ad-hoc administrative support as required 
  • Ensure Processes and Procedure Guides relating to owned tasks, are regularly reviewed and updated

To carry out any other duties which are within the employee's skills and abilities whenever reasonably Instructed

The Ideal Candidate

  • Proficient in Outlook, Word and Excel
  • Ability to manage own workload efficiently and effectively and to plan and prioritise appropriately
  • Strong attention to detail and accuracy
  • Able to communicate appropriately at all levels and to establish and maintain effective relationships


  • Knowledge of working with a Learning Management System/training environment
  • Experience of working within a regulatory environment
