Divisional Assistant

Job Introduction

Acting as DST Brand Ambassador for the Division the Divisional Assistant is responsible for supporting day to day administration, working with all levels of Management and Associates. The successful candidate will be required to also support Directors Personal Assistants.

Role Responsibility

  • Divisional/Departmental:
  • Assist in arranging meetings internally & externally which will include
  • Meeting room bookings
  • VC & conference bookings
  • Catering
  • Visitor net
  • Booking parking
  • Preparing agendas and typing up minutes/action points
  • Preparing presentation material/printing documents
  • Telephone support for Seniors in the Division
  • Attend and provide minutes for various meetings for seniors in the Division      
  • Expenses – out of pocket and company credit card
  • Arranging Departmental social events
  • Workday administration / support for the Division
  • Maintain organisation charts
  • Stationery ordering
  • Ordering business cards
  • Ordering flowers/gifts as required along with any seasonal gifts to staff
  • Providing cover for the Directors PA when necessary
  • Arranging travel for staff in the Division
  • Booking flights, hotels, taxi, trains etc.
  • Managing visa applications
  • Preparing staff for visits /travel itineraries
  • Management of per diem forms
  • Hotel invoices
  • Maintenance and input of travel records and procedures
  • Ad hoc secretarial duties to staff within the Division
  • Maintain departmental presentations, flyers, Excel logs etc
  • Maintain Email distribution groups
  • Arrange visits for staff from India
  • Hotels, taxis
  • Agenda’s
  • Printing, binding, creating posters, creating presentations
  • Manage the Divisional Knowledge base page ensuring all information is correct and up to date

Other ad hoc tasks as directed

The Ideal Candidate

  • Previous Personal Assistant/Divisional Assistant experience
  • Experience using Outlook to organise meetings
  • Experience in raising purchase orders
  • Experience in managing travel bookings
  • Experience in taking meeting notes
  • Previous Personal Assistant/Divisional Assistant experience preferred
  • Minimum Grade C GCSE English
  • Experience with MS Word, Excel and PowerPoint
  • Interest in pursuing a career in the Financial Services sector
  • Good communication skills
